Find who archived or changed an order

Overview

The app records who makes each change to an order, including archiving, canceling, deleting, and editing. You can use the Event Log (Events → Logs) to see whether a change was made by a person in the app, by an API key, by a connection, or by the system, and when it happened.

Events are kept for 60 days. You can find who made a change only if it happened in the last 60 days. See Data retention in the app.

How it works

Every change made to an order creates an event. The event records:

  • Who made the change: a user signed in to the app, an API key, a connection (integration), or the system (for example, an Automation Engine rule).
  • When it happened.
  • What was sent, including the new status.

A change made with an API key is attributed to the API key, not to the person who created the key. If the event shows an API key, check which system or person uses that key in Settings → API Keys.

Find who archived an order

  1. Open the order's details page.
  2. Scroll to the Order Activity card and select Show related events. The Event Log opens filtered to this order.
  3. Set the Operation filter to Update.
  4. Open the event that changed the status to archived. Select Details to see the request; the request body shows "status": "archived".
  5. Check the User and Integration columns to see who made the change.

If you don't have the order open, go to Events → Logs and paste the order ID into the Entity ID filter.

To find all changes made by one person or one API key, use the User or API Key filter on the Event Log.

Find who changed an order with the API

If you use the API, you can get an order's change history directly:

  • GET /orders/{orderId}?withTimeline=true returns the order with its timeline. Each timeline entry shows the new status and the user, API key, or integration that made the change.
  • GET /events?entityId={orderId} returns the events for the order.

See Pipe17 API References for details.

Example

Your team finds an order in the Archived status that should have shipped. You open the order, select Show related events, and filter by Update. The event that set the status to archived shows the user jane@example.com on October 3 at 2:14 PM. You change the order status back and follow up with that user.

Limitations

  • Events and timeline entries are kept for 60 days. After that, you can still open the order, but you can't see who changed it.
  • Archived orders are hidden from the default Orders view. Filter the Orders list by the Archived status to find them.
  • Archived and deleted orders are different. Deleted orders appear on the Deleted Orders page. See Deleted Orders.

Troubleshooting

  • I can't find the event that archived the order
The change may be older than 60 days, and the event is no longer available. Also check that you're searching by the order ID, not the external order ID.
  • The event shows an API key instead of a person
The change was made by a system or script that uses that API key. Check Settings → API Keys to find out who uses it.
  • The event shows System
The change was made by the app, for example by an Automation Engine rule. Check your Automation Engine rules for one that archives orders.
